A commercial cleaning quote is only as good as the information behind it. A number given over the phone with no site information is a guess dressed up as a quote, and it usually gets revised — upward — once the contractor actually sees the space.
We quote the opposite way: a short walk-through or a detailed floor plan review first, then a written figure that reflects the real job. It takes slightly longer than a phone quote but means the number you agree to is the number on the invoice.

Site Walk-Through or Floor Plan Review
For most commercial sites we arrange a short walk-through to see layout, access conditions and any problem areas. Where that is not practical, a floor plan and photos can substitute.
Scope Confirmation
We confirm frequency, exact tasks, consumables arrangement and any periodic work with you before finalising the quote, so nothing is assumed on either side.
Written, Itemised Quote
You receive a written quote listing frequency, scope, consumables and any periodic work as separate lines, so you know exactly what you are agreeing to.
Start Date Agreed
Once you accept, we agree a start date and confirm any building access requirements — sign-in procedures, lift bookings or after-hours arrangements — ahead of the first visit.
What makes a good written quote.
Itemised, Not Bundled
Frequency, scope, consumables and periodic work appear as separate lines rather than one lump figure that hides what is and is not included.
States Exclusions Clearly
A good quote is as clear about what is excluded — window cleaning, carpet steam cleaning, after-hours loading — as it is about what is included.
Confirms Insurance
A serious quote references current public liability insurance and can supply certificates on request, particularly for strata or building-managed sites.

A confident quote does not need a long lock-in term to be worthwhile — the standard of work should be what keeps the contract, not the paperwork.
What to have ready before your walk-through
The quoting process moves faster when you can share your current cleaning frequency (if any), a rough floor plan or area, and a list of anything that needs particular attention — a kitchen, specific bathrooms, glass partitions, or areas with heavier soiling. None of this is mandatory to get started, but it saves a round of follow-up questions.
If your site has specific access requirements — a lift booking system, security sign-in, or a defined after-hours window — mentioning this upfront lets us quote it accurately rather than adjusting the figure later once we learn about it.
Why a walk-through beats a phone quote
A phone quote has to assume a layout, a condition and an access arrangement, because there is no way to see any of them over a call. Those assumptions are frequently wrong, which is why phone quotes so often get revised once a contractor actually arrives on site.
A short walk-through, or at minimum a floor plan and some photos, lets us estimate labour hours against the real job rather than a generic template. It takes a small amount of extra time upfront in exchange for a number that will not move later.
What a good written quote should contain
At minimum, expect frequency, the specific tasks covered at each visit, whether consumables are included, whether periodic work like carpet or window cleaning is bundled or separate, and confirmation of insurance. If a quote you receive is missing several of these, ask before signing.
We provide all of this as standard, in writing, so there is a clear reference point if any question comes up later about what was agreed.
How long a quote takes
For most commercial sites, we can turn a walk-through into a written quote within one to two business days. Larger sites, multi-building portfolios, or strata tenders with a formal scope-of-works document can take longer, since they involve more detailed scoping and sometimes committee review on your end.
If you are working to a deadline — an existing contract ending, or a lease start date — let us know upfront and we will prioritise accordingly.
Comparing multiple quotes fairly
If you are tendering to more than one contractor, give each the same information and, ideally, the same walk-through access. Quotes based on different information are not really comparable, no matter how close or far apart the final numbers look.
